Cancellation Policy
- Cancellations must be made in writing.
- 72+ hours before transfer: No charge.
- 48-72 hours before transfer: 30% of the total cost.
- 24-48 hours before transfer: 50% of the total cost.
- Within 24 hours: 100% of the total cost. Please note that during peak seasons, these policies may change. You will be informed of any adjustments during booking.
Pickup Point:
- Pick-up at the hotel’s main entrance or designated area.
- Waiting Time: Complimentary 15-minute waiting period. Beyond this, a "No Show" status applies, and no refunds will be issued.

- Standard charter use is for 10 hours
- Additional charges apply for outskirts destinations or extended hours.

Pick-up & Drop-off:
- Locations must be accessible to the vehicle. Drivers reserve the right to refuse unsafe or unsuitable entry.
- Additional charges apply for pick-up/drop-off locations outside Kyoto, Osaka or Nara City.

Schedule Adjustments:
- Departure time determines the charter duration. For example, a 9:00 AM departure from the hotel ends at 7:00 PM. Additional hours are charged separately.
- Extra hour charges must be paid directly to the driver in cash.

Midnight Surcharge:
- A 50% surcharge applies for services between 10:00 PM and 7:00 AM.

Tour Guide Service: (optional)
- Licensed English, Mandarin or Malay-speaking guides are available for an additional fee. Other language options may be arranged upon request.
- Guides meet guests at the designated pick-up location.

Passenger & Luggage Limitations
- Toyota Alphard (MPV): Maximum of 6 passengers and 4 pieces of 24-inch luggage.
- Toyota Hiace (Van): Maximum of 9 passengers (12 pieces of luggage) or 13 passengers (4 pieces of luggage).
- Toyota Coaster (Mini Bus): Accommodates up to 21 passengers and 20 pieces of luggage.
- Infants and children count toward the passenger limit. Additional vehicles may be required for oversized parties or luggage.
Confirmation
Once we receive your booking request, we will send an acknowledgment email or WhatsApp. Please allow 2-5 business days for booking confirmation. If you do not receive an email, check your spam folder or contact us via email or WhatsApp. Once confirmed, a payment confirmation email will be sent, followed by a confirmation slip once payment is received.
